Runworx Privacy Policy
Last updated October 2, 2026
Effective October 2, 2026
1. Who We Are and What This Covers
Runworx Technologies, LLC ("Runworx," "we," "us") provides the Runworx manufacturing intelligence and operations platform (the "Service") to manufacturing businesses. This Privacy Policy explains what personal information we collect through the Service at runworx.ai (including the web app at app.runworx.ai and shop-floor terminals at ops.runworx.ai) and our website (getrunworx.com), how we use it, and the choices you have. We do not sell personal information.
Our customers control their own data. When a business uses the Service, it decides what data goes in, including information about its employees, operators, and customers ("Customer Data"). For Customer Data, Runworx acts as a service provider (processor). We process it only on that business's instructions and under ourTerms of Service. If you are an employee or operator of one of our customers, please direct privacy requests to your employer. We will help them respond.
For account, billing, website, and support information, Runworx is responsible for that data (controller).
2. What We Collect and Why
| Information | Examples | Why we use it |
|---|---|---|
| Account information | Name, work email, role, login credentials, operator sign-ins | Create accounts, authenticate users, and attribute production records to the right person |
| Customer Data | Work orders, materials, quality and inspection records, inventory, customer names on sales orders | Provide the Service as directed by our customer |
| Integration data | Connected account IDs, connection status, synchronized customers, items, and estimates | Run the integrations the customer turns on (see Section 3) |
| Business contact and billing | Company name, billing contact, address, invoices | Contracts, invoicing, and account communications |
| Website contact form | Name, email, company, and message you submit on getrunworx.com | Respond to your inquiry |
| Usage and device data | IP address, browser type, device or terminal identifier, pages used, error logs | Security, troubleshooting, and improving the Service |
| Support communications | Emails and attachments sent to support@runworx.ai | Answer questions and fix problems |
Our website (getrunworx.com) sets no cookies and loads no third-party scripts. Contact-form submissions are delivered to us through Formspree. The Service (app.runworx.ai and ops.runworx.ai) uses only first-party cookies to keep you signed in. We use no analytics or advertising cookies and do not track you across other websites, so we do not respond to browser "Do Not Track" signals. We do not sell or rent personal information to anyone.
3. Data from Connected Services
Customers can connect the Service to third-party business systems, such as accounting and ERP platforms ("Connected Services"). We currently support:
| Connected Service | What it does | How access is granted |
|---|---|---|
| QuickBooks Online (Intuit) | Connects your accounting to production in Runworx, for example to create estimates and invoices | You authorize the QuickBooks Accounting permission through Intuit |
| PHT Plus on Microsoft Dynamics 365 Business Central | Sends traveler documents from your ERP to Runworx (read only) | Business Central API access through an app registration in your own Microsoft tenant |
We will update this list before a new Connected Service becomes available. The connect screen in Runworx shows the same details before you connect. For every Connected Service:
- Authorization: you connect through the provider's own authorization process (such as OAuth). Runworx never sees your password for the Connected Service.
- Minimum access: we request only the permissions needed for the features you turn on. If an integration needs payments, payroll, or identity profile data, the connect screen says so before you approve.
- Use: only to provide the integration features you turn on, such as synchronizing customers and items or creating estimates and orders from Runworx records. We never sell data from Connected Services, use it for advertising, or share it with other customers.
- Storage: access credentials are encrypted at rest and kept on our servers, never in your browser. Synchronized records are stored with your other Customer Data.
- Disconnect: you can disconnect at any time in Runworx or from your account with the provider. We then revoke our access where the provider supports it and delete the stored credentials. Records already synchronized follow the retention rules in Section 4.
4. Sharing, Security, and Your Rights
Who we share with
We share personal information only:
- With service providers that help us run the Service and our website, such as cloud hosting, transactional email (Resend), workplace email and file storage (Google Workspace), and website contact forms (Formspree). They act only on our behalf, under confidentiality and security obligations. The service providers that process Customer Data are listed in Section 5.6 of our Terms of Service.
- With Third-Party Services you connect, such as accounting or ERP systems, at your direction. The provider's own handling of that data is governed by your agreement with that provider.
- When required by law, or to protect the rights, safety, and security of Runworx, our customers, or others.
- In a merger, acquisition, or sale of assets, subject to this Policy.
Information you enter in the Service is visible to other users in your company, according to the permissions your administrators set.
We store and process data in the United States.
Security
We protect data with encryption in transit, encryption of stored integration credentials, separation of each customer's data, and role-based access. No system is perfectly secure. If a breach affects your data, we will notify the affected customer as described in our Terms of Service. If a breach affects account, billing, or website information we control, we will notify affected individuals as required by law.
Retention
We keep Customer Data for the length of the customer's subscription. After the subscription ends, the customer has 30 days to export it, and we then delete it from production systems. Backups are overwritten within 90 days. We keep billing records as long as tax and accounting law requires. We keep usage and error logs for up to 12 months, and support communications for the life of the customer account plus two years, unless law requires longer.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information. You may also have the right to object to certain processing. To make a request, emailsupport@runworx.ai. If your information is held as Customer Data, we will forward the request to the relevant customer. You can unsubscribe from marketing email at any time.
The Service is for business use and is not directed to children.
Changes and contact
We will post updates here with a new effective date. If a change is material, we will notify customer administrators by email at least 30 days before it takes effect.
